Job Description

Hercules Bolt Company is looking for a dependable, hardworking individual to join our manufacturing team.

Responsibilities include:

  • Assembling large nuts, washers, and plates onto steel bolts
  • Performing general labor and assembly duties
  • Following product specifications and quality requirements
  • Maintaining a clean and safe work area

Qualifications & Physical Requirements

  • Must be able to lift 50 pounds
  • Must be able to stand for long periods of time
  • Must be able to read a tape measure and understand measurements
  • Must be dependable and willing to work overtime when needed
  • Manufacturing or assembly experience is a plus, but we are willing to train the right person

ACCOUNTS RECEIVABLE CLERK / FRONT DESK RECEPTIONIST

Position: Full-Time
Department: Accounting / Administration
Location: Madison, TN
Reports To: Controller/Manager

POSITION SUMMARY

Hercules Bolt Company is seeking a dependable, organized, and professional Accounts Receivable Clerk / Front Desk Receptionist to handle daily accounts receivable responsibilities while providing a welcoming and professional first point of contact for customers, vendors, visitors, and employees.

This position requires excellent attention to detail, strong communication skills, basic accounting knowledge, and the ability to manage multiple responsibilities while maintaining accuracy and confidentiality.

ACCOUNTS RECEIVABLE RESPONSIBILITIES

  • Process and maintain customer invoices and accounts receivable records.
  • Contact customers regarding outstanding invoices and payment status.
  • Send statements, copies of invoices, and other account information as requested.
  • Assist with new customer account setup and credit applications.
  • Verify customer information, billing addresses, contact information, W-9s, and payment information.
  • Research and resolve billing discrepancies and payment issues.
  • Assist with credit reference requests and customer account reviews.
  • Assist with collection efforts and provide documentation when accounts require further collection action.
  • Maintain organized records of invoices, payments, correspondence, and account documentation.
  • Work closely with sales, shipping, and management to resolve customer account issues.
  • Maintain confidentiality of financial and customer information.

FRONT DESK / RECEPTION RESPONSIBILITIES

  • Greet customers, vendors, visitors, and delivery personnel in a friendly and professional manner.
  • Answer and direct incoming telephone calls.
  • Respond to general customer inquiries or direct callers to the appropriate employee.
  • Receive and distribute incoming mail and deliveries.
  • Prepare outgoing mail and packages as needed.
  • Maintain a clean, organized, and professional reception area.
  • Assist visitors with signing in and contacting the appropriate employee.
  • Monitor general office supplies and notify management when supplies need to be ordered.
  • Assist with general office filing, scanning, copying, and document organization.
  • Assist employees and customers with general administrative needs.
  • Maintain professionalism and a positive attitude when dealing with customers, vendors, and coworkers.

ADDITIONAL ADMINISTRATIVE DUTIES

  • Assist the Controller/Manager with various accounting and administrative tasks.
  • Enter data accurately into company accounting and business systems.
  • Prepare correspondence, reports, spreadsheets, and other documents as requested.
  • Maintain accurate electronic and paper files.
  • Assist with special projects and other duties as assigned.
  • Cross-train with other administrative functions to provide office coverage when needed.

QUALIFICATIONS

  • Previous accounts receivable, bookkeeping, accounting, or office experience preferred.
  • High school diploma or equivalent required.
  • Basic understanding of accounting and accounts receivable principles.
  • Strong computer skills and familiarity with Microsoft Office, particularly Excel and Outlook.
  • Experience with accounting or ERP software preferred.
  • Excellent telephone and customer service skills.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential financial and customer information.
  • Ability to prioritize tasks and meet deadlines.
  • Strong organizational and follow-through skills.
  • Professional appearance and communication.
  • Ability to work independently as well as part of a team.
  • Must be dependable, punctual, and willing to assist wherever needed.

PHYSICAL / WORK REQUIREMENTS

  • Ability to sit and work at a computer for extended periods.
  • Ability to frequently use a computer, telephone, calculator, scanner, copier, and other office equipment.
  • Ability to occasionally lift and move office materials and packages.
  • Regular attendance and punctuality are essential.

WORK ENVIRONMENT

This is an office-based position in a manufacturing environment. The employee will interact regularly with customers, vendors, truck drivers, employees, and management and is expected to maintain a professional and courteous demeanor at all times.

CONFIDENTIALITY

This position will have access to confidential customer, financial, employee, and company information. The employee is expected to protect all confidential information and use it only for legitimate company business.

SUCCESS IN THIS POSITION

The successful candidate will be accurate, dependable, organized, friendly, and proactive. This person should be comfortable answering the phone and working with customers while also being able to focus on detailed accounts receivable work without constant supervision.

Other duties may be assigned as business needs require.
